8.2 Release Notes - Administrative Application

Visual Reporting (4210)

In addition to the standard and customizable reports available, LearnFlex now provides Visual reports, which are customizable instances of specific reports that provide graphical information to users both in Admin and User modes within specified communities and cohorts.

Specifically, the following enhancements are now available:

1.      New security setting: 853: Edit Visual Report. Displays the new Visual Reports sub-menu in Admin mode  

2.      New security setting 856: View Visual Reports. When enabled, displays the following:

·        Updated font, font size, and layout of the textual information displayed in the Executive Dashboard for easier reading (only when Visual reports have been created and targeted to the learner). Note: The View link for Users Pending Manager Approval for Learning is only available from the Executive Dashboard when this security setting is not enabled.

·        Any reports that have been configured through the new Visual Reports module.

3.      Visual Report settings: Allows you to configure Visual reports that you want to be available to users in Admin and User modes.

4.      New custom URL for communities: When configured in conjunction with new security setting 853, displays the Visual Reports menu in User mode.

Job Positions and Reporting Manager Assignment through User Import – Admin Mode (4225)

The LearnFlex user import process now supports the ability to create job positions when a job position exists in the import file, but not within LearnFlex.

Additionally, the import process can now also associated reporting managers with users whose information is imported or updated through the process.

As these user import configuration changes cannot be made through the LearnFlex user interface, contact your LearnFlex representative for details.

Grades Assignment - Published and Unpublished Sessions (4226)

Previously, administrators were able to grade learners only for classes that were published. With this enhancement, administrators can now grade learners in classes that have been either published or unpublished. This affects the following locations:

·        Grades assignment by either course or student

·        Grades administration for a user

Note: Administrators will not be able to register and grade unpublished classes from the Registration and Grading module.

No configuration is required for this enhancement.

LearnFlex Mobile Enhancements (4239, 4244, 4748)

LearnFlex Mobile has been updated with the following enhancements:

·        Ability to launch SCORM 1.2 content from your mobile device.

·        Ability to register for courses from your mobile device. No configuration in desktop LearnFlex is required.

·        Addition of Resources (headers and links) in LearnFlex Mobile.

These enhancements, plus existing functionality, are described in the new LearnFlex Mobile – User’s Guide, available from ZenDesk.

To accommodate these enhancements in LearnFlex Mobile, the following changes have been made in desktop LearnFlex:

·        New Platform drop-down list has been added to the Course Content section of the Courses module. This drop-down list allows administrators to specify if they want course content to be available to users in desktop LearnFlex, LearnFlex Mobile, or both.

·        New option when uploading content to a course shell. It allows you to optimize your course content uploads for LearnFlexMobile, as well as for SCORM 1.2, 2004, and AICC.

Note: When selecting the Save As New button and checking the Replicates Course Content box for a course, the new course will share the course content with the original course. All courses using this content will now show the latest version of content.

·        New Target Location drop-down list has been added to the Resources Administration screen. This drop-down list allows administrators to specify if they want a resource header and/or link to be available to users in desktop LearnFlex, LearnFlex Mobile, or on both.

Enhancements to All Courses View of Achievement Records (4263)

In order to improve the organization of the All Courses view of your achievement record, the following changes have been made:

·        Course Codes are now displayed below the names of courses in the Course Name column.

·        The Comments, Certificates, and View Attachments links, as well as the Launch buttons for each learning activity have been amalgamated into a single drop-down list on the far right of the screen.

Click the list to access all of these options when they are available.

·        A new Status column has been added to display the completion status (Complete, Exempt, or Failed) of your learning activities.

Note: Enable security setting 854: View Status to display the Status column.

The enhancements to the All Courses view are displayed below:

Changes to Session Requests (5337)

This enhancement simplifies the way session requests work in LearnFlex. In particular, the following enhancements and changes have been made:

1.      The location of the Session Requests left-hand side menu within a course is now located below the Reviews left-hand side menu (or the Publish This Course menu when reviews have not been enabled) in the Courses module.

It will only be displayed if session requests have been enabled by checking the Allow Session Requests with sessions box in Course Additional for the selected course and security setting 747: Session Request Manager has been enabled.

2.      The View Course button list has been removed (both when accessing session requests from a specific course and when searching for session requests).

3.      The Course drop-down list is now only available when searching for session requests. It is displayed but greyed out when accessing a session request from a specific course (as the course has already been selected).

Course Equivalencies and Exemptions (5455)

This enhancement allows administrators to map equivalent courses to one or more courses. A learner may be exempt from a course that is targeted to them based on a previous achievement of a similar course. This can happen, for example, when a learner’s role changes and consequently their targeted training changes with it.

In course equivalencies, there are two types of courses:

·        Those that grant exemption for another course

·        Those that are an exemption for another course

For example, there are two courses: Basic Music Theory and Advanced Music Theory. They are configured so that Basic Music Theory is an exemption course for Advanced Music Theory, and Advanced Music Theory grants exemption for Basic Music Theory. When a user successfully completes Advanced Music Theory, the user will automatically be exempt from Basic Music Theory upon registration.

One course can grant exemptions to multiple courses, and multiple courses can grant exemptions to a single course. However, it is always a one-to-one relationship – you cannot require a combination of two courses to grant exemption to a single course.

Automatic exemptions are granted only when registering in the exemption course through:

·        User self-registration  (in User mode)

·        Course registration (Admin mode)

·        Bundle registration (including auto enrollment in Admin mode).

Exemption courses will be enrolled and completed with grade of 100% and status of Exempt. The completion date will match the registration date. This may translate to a textual grade for the exempted course, when applicable.   

Manual Exemptions

Exemptions can also be granted manually to users. Like automatic exemptions, the user will receive a status of Exempt, but the grade will be whatever the administrator enters. It is highly recommended that comments are added about the exemption when possible.

You can grant manual exemptions from the following locations:

·        Grading users in their profile itself, through a course session, or by a user

·        In a user’s transcript (Admin mode only)

·        Managing users’ grades by course or by student

Viewing Exemptions

Once an exemption has been granted, the administrator can view details from the user’s transcript in Admin mode.

Report Builder Objects

A new object, Exemption Maps, has been added to Report Builder and contains the following new fields: Exemption Course Number, Exemption Course Title, Exemption Session Code, Exemption Session End Date, Exemption Session ID, Exemption Session Start Date, Superseding Course ID, Superseding Course Number, and Superseding Course Title.

Additional Exemption Details

You should note the following items:

·        Exemptions affect only future registrations.  

·        Automatic exemptions are granted at the time of registration only.  

·        Imported enrollments will not trigger or grant exemptions.

·        Weights for courses will be based on the required course only, not the course exemption.  Equivalency will take effect regardless of different weights that may exist between the two courses.

·        Course Save as New saves equivalency configuration.

Configuring Course Exemptions

1.      Enable security setting 855 Course Exemptions.

2.      Make sure that a course completion status of Exempt has been created with the correct external ID. This is required for both manual and automatic exemptions. It should be available automatically after upgrading to LearnFlex 8.2.

3.      Designate courses that grant exemption and those that are exemption for others.

Changes to the Competency Object in Report Builder (5557)

The User Competency object has been updated in Report Builder to return details about all competencies, including those that have been and have yet to be achieved by learners.

Merging Diplomas into LearnTracks (5590)

With this enhancement, the concept of diplomas has been merged into LearnTracks. This means that diplomas will no longer exist in LearnFlex, and instead only LearnTracks will be used. This removes functionality and information that was duplicated in the two areas, simplifies the interface, and helps ensure that users can see any new functionality that was added only to LearnTracks. Specifically, the following changes have been made:

In Admin mode:

·        The Diploma option has been removed from drop-down lists in following locations:

·        Media Type drop-down list in Manager Approval Search  

·        Transaction Type drop-down list in the E-Commerce Registration/Transaction report

·        The Type drop-down list has been removed from the following locations:

·        Bundle search screen

·        Bundle Management

·        Bundle Registration  

·        Request Manager – Diploma Search

·        Automated messages to bundle members (Bundle Type drop-down list)

·        Certification Enrollment, Certification Progress, and Certification Detail reports

·        The text * Represents Diplomas and ** Represents LearnTracks has been removed from the Bundle Schedule and Bundle Administration screens in the Users module.

·        The Add New Diploma left-hand side menu has been removed from Bundle Management.

·        Two new pricing methods – Course Pricing and No E-Commerce – have been added to LearnTrack E-Commerce. These provide users with more flexibility in determining how prices are calculated for LearnTracks and the courses within them. By default, new LearnTracks will be set to No E-Commerce while existing LearnTracks will maintain their existing E-Commerce configuration.  

The following security settings have been removed and migrated to the equivalent LearnTrack security settings as follows:

Additionally, you should note the following information:

·        No diplomas will be deleted. Existing diplomas will still be accessible as LearnTracks.

·        The Diploma object in Report Builder has been renamed to LearnTrack, and the Type field has been removed.

·        The word Diploma will still be visible in some areas LearnFlex, although it typically will only refer to LearnTracks.

·        All sections and references in the online help corresponding to the areas above have been updated where applicable.

Tax Changes to E-Commerce (5639)

Previously, LearnFlex offered the ability to charge taxes for E-Commerce-enabled learning activities only according to the address of the purchaser. This enhancement introduces the ability to configure LearnFlex to target taxes for E-Commerce-enabled learning activities according to either the location of the purchaser or the location in which the learning activity is held.

To support this enhancement, a new section has been added to the E-Commerce configuration screens for both courses and LearnTracks, as shown below:

Use this section to indicate that taxes are based on either:

·        Registrant Address: Select this to indicate that taxes are applied based on the registrant’s billing address (supplied by the registrant at the time of purchase) or work address (when no billing address is specified).

·        Delivery Location: Select this option to indicate that taxes are applied based on the location in which the learning activity takes place.

Report Builder Enhancements (7923, 7924)

The following enhancements have been made to Report Builder:

·        A new check box, called Display time in 24 hr format, has been added to Report Builder. When determining the presentation of your report, you can specify whether you want time formats for that report only to be displayed in either a 12 or 24 hour format. (7923)

·        The Course Keywords object has been added to Report Builder. It contains the following three fields: Course ID, Keyword, and Language Name.  (7924)
