Course Additional

Introduction

Use this section to specify additional information, such as credit course hours, course icons, and budget codes, about the course.

Note: Some of the options on this screen may be hidden using configurations within Course Schema.

Procedure

1.      From the Courses menu, click Add New Course.

2.      Complete the Course Basics screen.

3.      Click Course Additional.

Note: This left-hand side menu is displayed when security setting 48: Course Description is enabled.

4.      Use the Renewal Cycle drop-down list to specify when a user will need to re-take this course.

The values in this list are managed through the Renewal Cycles module.

5.      In the External ID field, specify a unique code that can be used for external reporting.

You can enter a maximum of 20 characters (alphanumeric).

Note: This value requires a specific entry if using enrollment restrictions.

6.      Use the Course Icon drop-down list to select the image that you want to attach to the course title in the target catalogue, or to the course listings page.

This is often used to denote courses that are new or on sale.

Hint: After selecting an image, you can click the Show Picture link to see the image to make sure that you have selected the correct one.

Note: Selections in this list do not necessarily have an icon attached to them. It simply means that a course icon name has been created. If your icon has been associated with the course icon name, you can add or edit the course icons in this list from the Course Icon module.

7.      Check the Course Publicly Available box to indicate that this course’s description will be available to third party registrations and catalogue systems.

8.      In the Course Credit Hours field, enter the credit hours for this course.

The value entered in this field will be tracked in the training progress tracker in users’ achievement records. The value assigned to each course will count toward their community’s minimum credit hours requirements.

You can enter a maximum of eight numbers in this field, including a decimal.

9.      In the Time Allotted in Days field, enter the amount of calendar days from the time of registration that users will have to complete the course.

Note: This field is displayed when security setting 771: Overdue Course Report is enabled.

The value entered in this field is reportable in the Overdue Course report.

Note: The value entered in this field is not displayed to users.

10.  In the Course Credit Weight field, enter a value to indicate the relative importance of a course if it is found in a LearnTrack.

For example, there are 4 courses in a LearnTrack with the first course having a weight of 2 and the other 3 courses with a weight of 1. Once the first course with a weight of 2 is completed, 40% of the LearnTrack will be considered as completed (2/5) as opposed to 25%. The default value for course credit weight is 1.

Note: If this value is set to 0 , this may affect Standard Reports due to their configuration.

You can enter a maximum of 6 numbers in this field.

Note: A default value can be set for this field through a global setting. Contact your LearnFlex representative for details.

11.  Check the Custom Flag box as necessary.

Note: This box is used for reporting purposes only. Searches using it return the value “True” when it is checked, and “False” when it is not checked. The label for this box can be modified using NLT #744024. To use it in reports, select Course Custom Flag from the Session object within Report Builder.

12.  Use the Curriculum Orientation drop-down list to select the end goal for the course (for example, a degree).

It is used as the heading by which courses are sorted on a user’s achievement record.

The values in this list are managed through the Curriculum Orientation module.

13.  In the Budget Code field, enter the budget code that you want to associate with this course.

You can enter a maximum of 100 characters (alphanumeric) in this field.

14.  Use the Publisher drop-down list to select the person who has published the information for the course.

15.  Use the Inquiries box to provide contact information for a course such as a telephone number or email address.

Any text entered here will be added to the course registration message after the course information.  

16.  Use the Overview box to provide additional information about a course when browsing the course catalogue.

17.  Use the Expectations box to provide the expectations of the course.

18.  Check the Prerequisites Required box to indicate that all prerequisites for this course must be completed before the current course is taken.

The prerequisites are determined in the Course Prerequisites section.

19.  In the Prerequisites Comments box, enter any additional information about the prerequisites of this course.

20.  Check the Pre-Assessments box to indicate if this course has any pre-assessments.

21.  Check the Post-Assessments box to indicate if this course has any post-assessments.

22.  In the Additional Information box, enter any additional information about this course.

23.  In the Course Information Link box, enter a URL for a link to display to users on the Course Properties Report and on the Course Information screen.

24.  Check the Launch from Achievement Record box to indicate is a Launch button should be displayed for those courses that have a URL and for those online courses in a user’s achievement record.

25.  In the Maximum attempts for course completion field, enter the maximum number of times that a user can attempt to complete the course – in addition to the original attempt - before they are prevented from doing so.

Because this value is in addition to the original attempt, a value of 3 here means that the user can take the course four times – the original, plus the three additional attempts. Leave this field blank to allow infinite retries.

Once this threshold has been reached, then the course will be removed from the user's learning plan (All Courses section). If part of a bundle, then the course will display as Failed within the appropriate section (LearnTracks) of the user's learning plan. Finally, the course may also be displayed as Failed in the user's achievement record if configured as such.

Note: This value overrides the value specified in the Attempts Allowed field for an associated assessment.

Note: This field is displayed when the instructional media for the course is set to Online.

26.  Check the Show Location drop-down list to indicate that only those that match the user’s location in their profile will be displayed.

27.  Check the Allow Session Requests with no sessions box to indicate that the Session Request button will be displayed in User mode when a user is attempting to register for a course that no longer has any available sessions.

The button allows the user to request a session of the selected course for registration.

Note: When a user is allowed to request a session, you can use the Priority Levels module to create values that users can select to indicate the preference level of each session request.

28.  Check the Allow Session Requests with sessions box to:

·        Display the Session Request button to allow a user to request another session of the course even when sessions are already available.

·        Display the Session Requests left-hand side menu within a course.

Note: This also requires that security setting 747: Session Request Manager be enabled.

29.  Check the Allow Session Requests with prerequisites box to indicate that a user can request for a session of a course that has prerequisites.

Note: The four boxes above (Show Location drop-down, Allow Session Requests with no sessions, Allow Session Requests with sessions, and Allow Session Requests with prerequisites) are displayed when security setting 579: Session Request Configuration is enabled.

30.  Check the Copy Assessment to subsequent sessions box to allow tests to be copied if the course is copied.

Note: This box is displayed when security setting 672: Copy Assessment with Session is enabled.

31.  Check the Show in Achievement Record box to specify that the course should appear on achievement records.

This box is enabled by default and will not affect existing courses.

Note: This box is displayed when security setting 685: Show In Achievement Record is enabled.

32.  Check the Prerequisites Required box to indicate that all prerequisites for this course must be completed before the current course is taken.

33.  Check the Allow Reenrollments box to allow users to reenroll into this course after having previously completed it. Any other restrictions on enrollment still apply.

Note: This box is displayed based on a Client Setup global setting. Contact your LearnFlex representative for more details.

When applicable in Advanced Group Registration, users who previously completed a course with reenrollments allowed are displayed with a status of Completed/Reenroll.

34.  Check the Use Team Restrictions for Course Registration box to enable team restrictions for this course.

Note: This box is displayed when security setting 804: Use Team-seats restriction for course registration is enabled.

35.  Check the Ratings and Reviews Enabled box to enable user ratings and reviews for this course, and to display the Reviews left-hand side menu in the Course Management module.

36.  Click Save to keep your changes.
