Users and Waiting Lists

Introduction

A waiting list is a list of learners who have attempted to register for a learning activity that has already met its maximum capacity.

A waiting list is useful in situations where, for example, a classroom can only hold a certain number of students.

Placing Users on a Waiting List

A waiting list indicates that the maximum number of users for a session has already been met. Anyone else registering for that session will be placed on this list until space becomes available in that session. Those users will have a status of Waiting in their profile (visible in Admin mode) within Course Administration or Bundle Administration (depending on the type of learning activity).

Note: Waiting lists can be limited to the number of users who can be in a waiting list. Therefore if the course has a waiting list but shows as full, then its waiting list is also full.

Configuring Waiting Lists for Courses and Bundles

You configure waiting lists for courses and bundles through the following steps:

1.      Check the Enable Waiting List box for the session. This enforces the waiting list when the maximum number of students in the session has been reached.

Hint: Through a global setting (Enable Waiting List Enforce), this box can be checked automatically for new sessions. Contact your LearnFlex representative for details.

2.      Place a number into the Wait List Maximum field.

This number indicates the maximum number of users who can simultaneously be on the waiting list.

3.      Indicate the maximum number of students per session, and optionally, per community.

4.      Configuring message management: Waiting List to Enrollment.

There are no security settings to configure waiting lists.

Locating Users on a Waiting List

You can locate those users who have been placed on a waiting list within the Course Student list.

Changing a User’s Waiting Status

You can change a user’s Waiting status in a learning activity by changing the registration status for an individual or a group. The user will move from the total number of users waiting to register to the appropriate one. The status in the Course Administration module and in the user’s learning plan for the user will change from Waiting to Enrolled.

Messages and Information about Waiting Lists

Details about waiting lists are available in the following areas of LearnFlex:

·        Course Full message: Placed in the user's Message Centre when the user is placed in a waiting list.

·        Enrollment Successful message: Placed in the user's Message Centre when they are moved from Waiting to an Enrolled status. The message itself will not reference the waiting list.

·        Waiting list information: Displayed from the More Info button in Course Administration.
