Use the transcript to view a summary of the courses and LearnTrack that a user is enrolled in or has completed (successfully or unsuccessfully) and to generate a printer-friendly PDF of the transcript.
Note: An instructor can also view their students’ transcript and edit their grades from the Course Instruction screen.
In User mode, a user can view their transcript within their achievement record, but without the editing capabilities.
Note: This topic assumes that you are using transcript version 2 (as specified in Global Settings). If your screen is different, see Transcript of a User – Version 1. Contact your LearnFlex representative to change the transcript version you are using or to customize the appearance of Transcript Version 2.
1. From the Users menu, search for the user whose grades you want to manage.
2. From the resulting screen, click Transcript.
Note: This left-hand side menu is displayed when security setting 698: Transcript is enabled.
The following columns of information are displayed:
· Title: Displays the title of the learning activity.
· Type: Displays whether the learning activity is a course, LearnTrack, or personal achievement.
· Code (by default not displayed): Displays the session code.
· Iteration (by default not displayed): Displays the number of iterations. For example, the first time a user enrolls in a course or LearnTrack, the iteration number is 1. If the user reenrols in the course, the iteration number is 2.
· Registration Date: Displays the date that the user registered in the learning activity.
· Completion Date: If applicable, displays the date that the user completed the learning activity.
· Status: Displays the user’s status in the learning activity.
· Grade: If applicable, displays the user’s grade in the course. If the user has reenrolled in the course, this displays their most recent grade.
Note: Contact your LearnFlex representative to customize the appearance of the transcript, including what columns are displayed, the default sort order, filtering options, page controls, etc.
3. You can perform the following operations from this screen:
· Click a column heading to sort by that column. Hold Shift and click a second column heading to then sort by that column. Click (or shift-click) a sorted column heading again to change the sort order between ascending and descending.
· Use the text boxes, drop-down menus, or date selection menus to filter the transcript. You can apply filters by selecting an option from a drop-down menu, by pressing Enter while the cursor is in a text box, or by clicking Fill & Filter in a date selection menu.
· Clear filters by removing text from the text boxes and pressing Enter, or by selecting “All” from the Type or Status drop-down menus.
· Click the plus icon next to a LearnTrack to expand or collapse a list of achievement requirements and the details for each requirement. Some requirements may be hidden by filters.
· When viewing LearnTrack requirements, click the icon next to a child LearnTrack to view that LearnTrack in the transcript.
· If displayed, click the icon in the Action column to edit the user’s grade and other information about the learning activity.
Note: Enable security setting 719: Edit Transcript Grades to display this icon.
· If displayed, use the page navigation controls at the bottom of the transcript to navigate to other pages.
· To generate a printer-friendly PDF version of the transcript, click Export All Pages to PDF or Export Current Page to PDF. The PDF will be generated with the content sorted and filtered as displayed on the screen.
