Using LearnFlex

Mandatory and Optional Fields

Many screens in LearnFlex require user input in the form of field entry, button clicking, or box selections. Some fields and selections require a value while others are optional. On some screens, a red asterisk denotes a mandatory field or selection. Whether the asterisk is shown or not, when attempting to save your changes, you will see a message indicating when you have not completed all mandatory fields or selections.

Maximum Characters in a Field

Every field in LearnFlex can hold a maximum number of characters (or a combination of characters, numbers, and/or special characters). In many cases, this maximum is stated in the online help, generally up to a maximum of 500 characters. Generally, when the maximum exceeds this value, the maximum will not be explicitly stated.

Making Multiple Selections in List Boxes

LearnFlex presents various types of elements - such as fields, list boxes, text boxes - that you can use to specify values. In list boxes, you can make multiple selections through the typical Windows function keys - Shift + mouse click to select adjacent values, and Ctrl + mouse click to select values that are not necessarily beside each other.

Tabbing Around Fields

Instead of using the mouse to move between fields, list boxes, and buttons, you can also use the Tab key on your keyboard. You cannot tab to read-only fields.

Multiple LearnFlex Sessions

Performing LMS work with multiple LearnFlex sessions in tabs or new browser windows may result in cross-linking between sessions. Therefore, it is recommended that you do not open two LearnFlex login instances within the same browser or linking into a new browser. This is a result of how Internet Explorer shares session-cookie information and is not a product issue with LearnFlex. In the majority of instances this will not happen, however, LMS administrators who maintain two instances (for example, a basic user and a basic administrator) could encounter this issue if they do not shut down and restart their browser, or completely log off from the LMS before logging in with their new account.

Admin and User Modes

LearnFlex contains two sets of menus, or modes. Within the online help, these are called Admin mode and User mode. Admin mode allows administrators to view and manage aspects of LearnFlex, such as courses, tests, students, and reports. User mode allows students to search for and register for courses, take tests, view their achievements, and so on. Access to each of these modes, and the menus they contain, are controlled through security settings.

Menu Hierarchy

Within both Admin and User modes, LearnFlex has several levels of menus:

·        Main menu: This is the main set of menus at the top of the screen. Main menu headings include Settings, Registration, and Reports (in Admin mode).

·        Sub-menu: These are the set of menus that belong to a selected main menu. For example, the Learning Plan main menu in User mode can contain the following sub-menus: Competencies, All Courses, LearnTracks, and so on. Not all main menus have sub-menus.    

·        Left-hand side menu: Many sub-menus have their own set of menus, called left-hand side menus. These menus allow you to search for items in LearnFlex, or specify information (Course Basics, Course Additional) about an item (Courses), among other operations.

Case Sensitivity

Most fields, selections, and searches in LearnFlex are not case sensitive. This means, for example, that Business Unit, business unit, BuSiNeSS UNIt would be considered the same entry on most screens.

However, the Password field on the LearnFlex login screen may be case sensitive, depending on your LearnFlex password policies configuration. Contact your LearnFlex representative for details

Case sensitivity is also important when saving external IDs. There are multiple integration points (such as enrollment restrictions and diploma statuses) that LMS administrators use to map data from external systems into LearnFlex. To function successfully, the integration points need an exact match on external IDs. These locations are noted in the online help.

Undoing Actions

LearnFlex does not use the Windows key combination of Ctrl-Z or the Macintosh equivalent of Cmd-Z to undo an action. To undo the changes you have entered on a LearnFlex screen, you can either:

·        Click Cancel. Does not save any changes made on the screen.

Note: The description of this functionality only applies to the values on the entire screen, and not to other Cancel buttons that have specific functionality, such as cancelling a user’s registration in a LearnTrack.

·        Click Reset: Re-populates the screen with the last set of saved values.

Note: These buttons may not be available on every screen in LearnFlex.

Browser Back Button

Even though LearnFlex is a web application, you should not use your browser's Back button to return to a previous screen. You should use the screens, menus, and buttons within LearnFlex itself to ensure that you access the correct screen.
