Attachment Manager

Introduction

The Attachment Manager is a pop-up window that appears in multiple locations LearnFlex. It allows administrators and users to upload and manage attachments. These attachments can represent certificates, assessments, or other administrative documents.

Procedure

1.      To open the Attachment Manager, click the Manage Attachments link from any of:

·        Achievement record - courses

·        Grades Assignment by course (Class List) screen  

Note: Security settings 43: Grades Assignment and 796: Grade – Allow Editing must be enabled to be able to manage attachments from the Grades Assignment screen.

·        Grades Administration screen.

The Attachment Manager pop-up window is displayed:

2.      Use the Asset Type drop-down menu to select the type of attachment you want to upload.

You can select Certificate, Evaluation, or Other.

Your selection here will auto-populate the Asset Type column in the Attachment Manager in users' achievement record with the same value, but has no effect in Grades Assignment or Grades Administration.  

3.      Use the Title field to give your uploaded attachment a name.

If you leave this blank, LearnFlex will populate the field with the name of the file being uploaded.

Note: The auto-population functionality will only populate the name of the document in Title field for the default language set for LearnFlex at the time of implementation. Contact your LearnFlex representative for more details.

4.      In the Supporting Document field, click the Browse button to browse your system for a file to upload.

File types supported include: .png, .gif, .jpg, .pdf, and .bmp.

5.      Click the Upload button to upload the file.

If successful, file information will be displayed in the Upload Date section of the pop-up window.

6.      You can perform the following operations from this screen:

·        Upload additional files to the course as needed.

·        Click Delete to delete an uploaded file.

Note: Be careful not to click Delete by mistake. There is no secondary prompt or warning and your certificate will be deleted.

·        Click Open to open and view an uploaded file.

·        Click Close to exit the pop-up window and return to the previous screen.
