Vouchers Overview

Introduction

The Vouchers module allows you to create coupons that students can use towards the payment of a course or LearnTrack. There are three types of vouchers:

·        Fixed Discount: Consists of a set dollar amount that can be used for only one transaction, even if there is outstanding amount. Taxes are applied to the discounted price of a course.

·        Relative Discount: Consists of a percentage (such as 10% off) that can be used for only one transaction. Taxes are applied to the discounted price of the course.

·        Gift Card: Consists of a set dollar amount that can be used multiple times. Taxes are applied to the original price of the course, not the discounted price.

Vouchers and Voucher Groups

Every voucher belongs to a voucher group. A voucher group contains general information, such as the price, type (single or multi use), start date, and expiry dates, about each voucher within it. It is a convenient way of creating a group of vouchers that have the same details in one operation.

The only detail that is different for every voucher within a group is the voucher key. This is the unique identifier of a voucher, regardless of voucher group. The keys are generated automatically, but you can specify the number of characters in each key. The administrator will need to supply the keys (through mail, phone, and so on) to users so that they can use them during registration. The user can redeem a voucher as long as it is active and has not expired.

Every voucher can be used towards all courses and LearnTracks within a community-publisher combination, or you can specify exactly which courses can have a voucher applied to it (known as assigning).

Note: If you assign at least one course to a voucher group, then your voucher will no longer apply to LearnTracks or any other courses. This concept also applies to bundles (once applied to bundles, courses cannot be applied to that voucher pool).

Creating a Voucher Group

You can create a voucher group in two locations in LearnFlex:

·        E-Commerce (main access point)

·        Order Management (alternate access point)

This allows administrators access to the Vouchers module without granting unneeded access to the E-Commerce module. Aside from your access point, the concepts and procedures are exactly the same. Changes made in one location are visible and editable in the other.

Configuring Vouchers

To configure vouchers, you need to:

1.      Enable security setting 832: Vouchers to access the Vouchers module within Order Management, or 742: Vouchers to access the Vouchers module within E-Commerce.

2.      Enable the Vouchers option in the appropriate communities.

3.      Configure the actual vouchers in E-Commerce and/or Order Management.

4.      Provide voucher keys to users.

Reporting on Vouchers

The Voucher object will report on all vouchers available within LearnFlex. Use the Community and Voucher objects to report on community access to vouchers. Use the Voucher and User objects to report on user and voucher usage. Use the Community, User, and Voucher objects to report on community information about users who have redeemed vouchers.
