Activating a User

Introduction

After they have has been created, a user must be activated to have the required permission to log into the system.

Procedure

1.      From the Users menu, search for the user whose activation details you want to manage.

2.      From the resulting screen, click Activation.

Note: This left-hand side menu is available when security setting 80: Activation is enabled.

3.      Use the Activate Date drop-down lists to specify the month, day, and year when the user will become active.

4.      Use the Deactivate Date drop-down lists to specify the month, day, and year when the user will become inactive.

This date can be used in relation to activation keys. If a user’s account requires activation (specified below), then this date indicates how long the user has to activate their account (shown to the user when the Activation screen is shown to them).

5.      In the Max No. of Concurrent Courses field, specify the greatest number of courses that this user can take at one time.

You can specify a maximum value of 9,999,999,999.

6.      In the Max No. of Courses field, specify the greatest number of courses in which a user can be enrolled.

You can specify a maximum value of 9,999,999,999.

7.      Use the Status drop-down list to update the status of the user.

An active user is one who can log into LearnFlex while an inactive (or non-active) cannot.

8.      The Last Successful Login value displays the date and time when the user last logged into LearnFlex.

This value is for informational purposes only and cannot be modified.

9.      The Last Failed Login value displays the date and time when the user attempted to log in but could not.

A value is recorded here only when an active user did log in successfully. If the user has not had a failed login attempt, a value of Jan 1 1900 12:00AM is displayed.

10.  Check the Requires Manager Approval box to specify that this user needs manager approval before being allowed to register for courses.

11.  Check the Enforce Max Number of Concurrent Courses box to indicate that the number of concurrent courses specified above will take precedence over the maximum number of concurrent courses specified at the community level.

12.  Check the Password Reset on Next Login box to indicate that the user will be prompted to change their password immediately after logging in.

This ensures that only the user knows their password, and thus provides extra user security.

Note: Security setting 595: Password Reset on Next Login must be enabled to display this check box.

13.  Check the Requires Activation box to indicate that the user will need to enter an activation key before accessing the LearnFlex main screen.

 The user can choose to skip the activation but will eventually need to activate.  The activation key that the user enters becomes their external ID (regardless if one already exists).

Once the user enters an activation key, LearnFlex automatically unchecks this box.

14.  Check the Requires Secondary Key box to indicate that a secondary key is required for the user to log on.

15.  Check the Require Profile Confirmation box if the user needs to confirm their profile before logging on.

In the meantime, the user can have a temporary account created.

Note: The above three check boxes (Requires Activation, Requires Secondary Key, and Requires Profile Confirmation) are displayed when security setting 630: Activation Keys User Profile Options is enabled.

16.  Check the Review Ban box to ban this user from reviewing learning activities.

17.  Click the Resend Activation Email button to re-send an email regarding the user’s activation to the user.

Note: This button is displayed when security setting 688: Resend Activation Email is enabled.

18.  Click Save to keep your changes.

19.  Click Finish to display a summary of some of the user’s details. If incorrect, you can return to that field to change the value.
